SUBJECT: Board Correspondence Process - INFORMATION ITEM





DESCRIPTION:



As representatives of the public interest, the Board is an important communication link with the University Community and citizens. Effective communications processes are essential. As such, the Board shall establish a process for receiving and responding to communications with the Board.



To fulfill their fiduciary responsibility, any correspondence related to University business or activities received by Board of Regent members shall be forwarded to the Chair of the Board of Regents. The Chair shall do one of the following:



1. Advise and coordinate with the President of the University and respond individually or on behalf of the Board of Regents. or;



2. The Chair may refer the correspondence to the President to gather information and reply to the Board of Regents, and/or;



3. The Chair may ask the President to respond on behalf of the University and advise the Board.



All action taken by the Chair shall be reported to the Board. If requested the Chair will maintain the confidentiality of the correspondence. It the Chair feels outside services are required, the contract for services must be approved by the Board.

RECOMMENDATION:



Chairman Roth recommends Board of Regents the Board Correspondence Process for information.
