Sabbatical
Guidelines
The Mary B. Sweet
Sabbatical was established in 1955 to provide the opportunity during the summer
for Washburn University of Topeka faculty and administrators to advance their
education. The Washburn Endowment Association who has full discretionary
authority to determine eligibility for sabbaticals and to construe the terms of
the gift instrument administers the Sweet Sabbatical Fund. The following
guidelines have been established to assist applicants in preparing their
requests.
I.
Eligibility Requirements
A. Faculty
members on nine and ten month contracts are eligible for maximum annual awards
of $10,000, provided they meet the following requirements:
1.
They have completed a minimum of three years service as full-time employees of
Washburn University of Topeka.
2.
They are full-time faculty members of the College of Arts & Science, the
School of Business, the School of Nursing or the School of Applied Studies,
with preference given, although not required, to those on permanent tenure.
3.
They remain outside of the state of Kansas for at least 60 days (including at
least 30 days outside of North America) during the summer months. The days do
not have to be consecutive. Awards of
less than the maximum are available when fewer than 30 of the required 60 days
are spent outside North America.
4.
They may only receive Sweet Sabbatical awards once every three years, i.e. a
recipient of a 1997 award would not be eligible again until the year 2000 or
later.
B. Individuals
on 12-month contracts are eligible for a maximum annual award of $5,000,
provided they meet the following requirements:
1.
They have completed a minimum of three years service as full-time employees of
Washburn University of Topeka.
2.
They must remain outside of the state of Kansas for at least 30 days (including
at least 15 days outside of North America) during the summer months. The days
do not have to be consecutive. Awards of less than the maximum are available
when fewer than 15 of the required 30 days are spent outside North America.
3.
They have not received more than two 30-day awards in a four-year period.
II.
Application Procedure
A.
Applications are due in the
Washburn Endowment Association office, second floor of the Bradbury Thompson
Center, no later than March 2nd for the coming summer. Applicants
are encouraged to file applications as early as December 1st. Late
applications may be returned or held over until the following summer.
B.
Candidates must indicate on
their application if funds in support of the sabbatical are provided by other
agencies or sources for transportation, for services rendered during the
sabbatical period or for other purposes. Such amounts are to be deducted from
the sabbatical amount requested. If this is not known at the time the
application is filed and the grant approved, any such funds or allowances
received shall be returned immediately to the Washburn Endowment Association.
C.
The recipient must file a written
report with the Washburn Endowment Association no later than October 5th
of the year the award was received. Report forms are available in the Washburn
Endowment Association office.
D.
A person taking course work shall
file with the Washburn Endowment Association an official transcript of the courses
taken, whether taken for credit or not-for-credit.
E.
Ten percent of the amount of the
award may be retained by the Washburn Endowment Association until after the
sabbatical is completed in accordance with the approved application and the
issuance of an approved report.
III.
Additional Information
A. The Washburn Endowment Association will make all award payments directly to the recipient. The recipients are employees of Washburn University of Topeka and not of the Washburn Endowment Association. Any problems relating to exemption of an award from taxation are left with the individual recipient and the Internal Revenue Service. Washburn Endowment Association assumes no responsibility for any tax liability. It is urged that each recipient maintain a proper daily record as to time, place, persons and events. Each recipient should also obtain and retain receipts for all expenditures incurred. Washburn Endowment Association will provide the recipient the required copy of the IRS form submitted to federal and state taxing authorities.
B.
Failure to perform the sabbatical
as approved may result in the request for the return of all funds advanced.
Future applications for an individual will not be considered unless an
acceptable report has been filed with the Washburn Endowment Association for a
previous sabbatical, and the recipient shall be ineligible for future awards.
C.
No award shall be made to any
person unless that person shows that their sabbatical is of unquestionable
educational value and will upgrade their academic credentials, as well as
provide material to be used in future classroom activities at Washburn
University of Topeka, or in the future daily work habits of administrators of
Washburn University of Topeka.
