Admissions Assistant Clerk III

Applications are being accepted for an Admissions Assistant (Clerk III) position in the Admissions Office.  This position reports to the Operations and Communications Coordinator. 

RESPONSIBILITIES

The incumbent of this position must develop and employ a full understanding of Banner processes, sequences and data standards to appropriately establish and update records that will be used by various staff and departments throughout the University.  It is important that the employee maintain confidentiality standards under FERPA guidelines.

Create, update and maintain student records in Banner, entering a wide range of information that may include biographical and/or academic data, individual course information, star terms, student types, etc., applying knowledge of appropriate codes, data standards, and an understanding of University processes, and state and federal requirements.

Examine application documentation and student academic records to verify that coding and information is consistent and to assess whether to admit or deny admission to each applicant.  Refer problematic applications to Admissions administrators for further consideration.  Update/modify Banner records as needed to ensure student records are accurate for subsequent processing by other Enrollment Management departments.

Work with other Admissions Assistants to hire, schedule, supervise and assign work to student employees who assist with operations processing.  Monitor student performance to identify training needs and ensure the highest levels of customer service are maintained.  Coach and train students as needed to improve performance.

Sort, label and prepare all documents for scanning into Banner.  Scan and index documents to allow access to student records during processing and research by authorized staff.

Welcome visitors and prospective students who arrive at the Office of Admissions and answer main phone line maintaining a professional demeanor at all times.  Respond to inquiries received via email, telephone or personal visits from staff, students, faculty and others about admission policies and procedures, admission application status, etc., directing inquiries to the appropriate staff member or department as needed.

Accept and receipt payments for application fees, recording transactions and maintaining a cash fund according to University procedures and requirements.

Perform other duties as assigned which may include opening mail and distributing mail to facilitate timely decision-making, communication and processing of applications, fees, transcripts and other admissions related activities.  Provide back up for other administrative support staff in the Department and other clerical support.

QUALIFICATIONS

REQUIRED: High school diploma or GED equivalent.  3 years of clerical experience in a high-traffic, customer service-focused environment, or bachelor’s degree and experience in office support work.  Experience in keyboarding and data entry.  Ability to communicate effectively both verbally and in writing, and make complex decisions in accordance with established policies and procedures.  Demonstrated attention to detail and accuracy.  

PREFERRED: Bachelor or Associate Degree.  Experience with SCT Banner software, MS Office and WebExtender.   Experience in a higher education environment.  Ability to speak and understand Spanish.
