Communication Coordinator

Human Resources seeks candidates for Communication Coordinator in Admissions.  This position reports to the Director of Admissions.



Develop and Manage Admissions Office Communication Campaigns

Participate in planning discussions and review final recruitment plans and strategies to identify communication needs and timelines that will support recruitment and communication efforts.  Establish timelines and processes in Banner and University Constituent Relationship Management and Content Management System (CRM/CMS) to initiate timely and appropriate communication according to communication plans to promote continued interest in enrollment. 

Create content, identify and establish delivery methods for communication within each campaign using CRM/CMS.

Identify specific tracks for prospective students, develop letters and notices that will appeal to their interests (educational level, county of residence, etc.) and provide relevant information throughout the recruitment process. Initiate communication to prospective students to introduce them to Washburn University or in follow-up using traditional outlets (phone calls, U.S. mail) and social media (email, text messages, etc.) to enhance delivery.

Track and analyze recruitment and communication results to determine the most effective means and types of communication.  Apply knowledge from results to future campaign planning to enhance its effectiveness.  Monitor reports and requests received in the Admissions Office from prospective students, applicants for admission, enrollees, high school counselors and administrators via all forms of communication to identify further communication needs and special issues that need to be addressed; respond accordingly.  Share information received with other administrative and/or academic departments as appropriate to assist in recruitment activities being conducted outside of the University Admissions office.  As appropriate, develop different/specific communication funnels based on the actions and individual circumstances of prospective students. Analyze data on email communication to measure effectiveness. 

Load data into CRM/CMS for use in reporting and tracking campaign success of communication activities.

Marketing Publications

Develop new and update publications to support recruitment activities, ensure their attractiveness to prospective students and accuracy in providing information about the University.  Order printing/reprinting of publications as necessary to ensure an adequate inventory of publications is available to support recruitment activities.  Collaborate with Enrollment Management and work with the advertising agency to develop print marketing strategies.

Website Application

Work with Admissions office staff, specifically the Web/Social Media Manager, to create and post information pages and registration links for Admissions' special events.  Review and assess web content for the Admissions Office to ensure current, accurate information is being made available to prospective students and parents.  Work with other Admissions staff to initiate changes and corrections as necessary.


Serve as primary back-up to Web/Social Media Manager to ensure continued, consistent information is available and disseminated to prospective students. 

Perform other duties as assigned.



REQUIRED:  Bachelor's degree.  Experience in mass communication and/or marketing/recruiting or related field. Knowledge of social media and its application in recruitment-related communication.  Proficiency using Microsoft Office software.   

PREFERRED: Master’s degree.  Knowledge of SCT Banner system and Constituent Relationship Management software.  Experience using Adobe Creative Suite.  Ability to speak and understand Spanish.  Work experience in higher education recruitment and/or admissions activities.
