
Applications are being accepted for a part-time Secretary II position in Allied Health. This position reports to the Allied Health Department Chair, and provides administrative support for faculty in the Radiation Therapy, Radiologic Technology, Magnetic Resonance, Computed Tomography, Clinical Laboratory Science and Technology Administration programs. The employee will work 24 hours per week, and the work schedule will be discussed at time of hire.
Greet, assist and direct student walk-in traffic. Answer incoming telephone calls; direct calls, take and relay messages as appropriate to facilitate communication among departmental faculty, students, and the public.
Contact students in response to inquiries or as issues arise that require communication with individual students.
Copy and distribute correspondence, tests and other documents as appropriate. Assemble and mail informational packets to new student and clinical sites to facilitate program application and participation. Stamp, package and otherwise prepare outgoing mail.
Format and type exams, letters, lists, labels, tests and other documents as requested by the Department Chair and/or faculty. Grade exams as requested. Type revisions for the clinical manual to update information for users.
Establish, update and maintain office files. Oversee use and maintenance of office equipment, initiating repair or maintenance as needed. Maintain office supply inventory, ordering additional supplies as needed.
Order textbooks and desk copies for assigned programs and instructors as requested following Ichabod Shop processes and procedures.
Enter semester class schedules into Banner as indicated by the Chair. Establish overrides in Banner as directed by course instructors to allow access for enrollment by students.
Review program applications to verify that all information is complete. Notify applicants when information is missing.
Complete certificate audit sheets for Radiation Therapy students, making sure required coursework is complete, GPS's meet standards, etc.
Tally completed and returned surveys for faculty and students to facilitate analysis of information.
Other duties as assigned, including but not limited to the following:
REQUIRED: High school diploma or GED equivalent and two years of secretarial/clerical experience, or completion of a course of study in office support/management at the post-secondary level and 1 year of relevant experience. Proficiency in word processing and spreadsheet software. Proven ability to work independently, proficiency in multi-tasking, and congenial personality.
PREFERRED: Work experience in an educational environment; proficiency in Microsoft Office.
