Q: Where can I get requisition forms?

Forms can be picked up in Morgan 113 or ordered by e-mail to University Mail and Printing Services. Please specify if you would like the printing or mailing requisition form, number and to which department to send the forms.

Q: How do I fill out the printing requisition form?

Please fill out the top row starting with department name. The job number field will be filled in by University Mail and Printing Services.

Section 1:

If you are printing on the front and back of the paper, you will probably want to use a heavier stock, such as 60 or 70 pound, so the text will not show through. If you are unsure of which paper color and weight you would like to use, you may request a sample book of all standard paper available by sending an e-mail to University Mail and Printing Services or call ext. 1605.

The number of originals is the number of separate pieces you are submitting. If you are going to have 1 page, front and back, for your finished work, you will need to submit 2 originals.

The total number of finished pieces/sets is the number you will end up with. If you are wanting 20 separate sheets bound into 10 books, the total will be 10.

If you have anything that prints all the way to the edge a larger size paper will be used and cut down to fit.

If you are going to be doing a full color print, the ink color can be left blank. You will want to mark the color copier, color printer or wide-format printer in section 2. If you are not sure which to mark, that can be filled out by University Mail and Printing Services.

Section 2:

If you are not sure which machine your project will be printed on, you can check with University Mail and Printing Services.

The binding options can be found in the center of Section 2. If you would like one of these options, you should check the binding box, then mark which option you would like below.

Scoring should be used with heavy paper stocks.  It will make it easier to fold.

Embossing is used to create raised letters or images on your work.

If you would like to provide University Mail and Printing Services with a disk of addresses, you can mark Mailing by University Mail and Printing Services and we will be able to print the addresses directly on your finished work and mail them from University Mail and Printing Services.

If you have more than 1 sheet that will need to be folded or bound together, they will need to be collated.

If you wish to only print on one side, mark the front only box. If you wish to print on two sides, mark the front/back box.

University Mail and Printing Services can cut paper to almost any size. If you would like your project to be cut, you can indicate that by checking the cut box and writing the size of the finished project in the finished size box in Section 1.

Shrink-Wrapping is a good idea for projects that are many individual sheets, such as postcards or letterhead.

The folding options are listed below the binding options in Section 2. Please mark the fold box, then indicate the folding option below.

Vendor plates, SAM/SAP plates and Current plate on file will be filled out by University Mail and Printing Services

Special Instructions can be anything from clarifying instructions to the best person to contact with questions. We can never have too much information.

Section 3:

The name of the person to contact in case of questions needs to be printed on the line marked requester. This is the person who will be called at the extension listed on the form. This will also be the person to whom the proofs will be sent. If the requester is not the person to be contacted, those instructions should be listed in the special instructions section.

The needed by date is the date on which the work should be finished. If the work needs to be typeset or printed on the press, it will take more time and more steps in production than work that is just to be copied. Please leave at least 5-7 business days for such work. When changes are to be made to the original, a proof will be sent out. Any delays in returning the proof will cause a delay in printing.

Q: How do I fill out the mailing requisition form?

Please fill out the top row starting with department name. The job number field will be filled in by University Mail and Printing Services.

Indicate if your mailing will be First Class Postage or Bulk Mail Postage. If you are not sure which your mailing qualifies for, see the US Post Office web site or call ext 1604.

Q: Who do I contact with questions on how to prepare my requisition form?

Submitting Work

Q: How much time do I need to allow for work to be done?

There are many variables that can affect the time needed to complete a job, including: equipment capacity/problems, paper in stock and amount of work in the department. The same job could take 1 day or 5 days depending on the circumstances. We will do everything we can to get your printing done as soon as you need it, but it is important to leave enough time to complete the job. For copier work allow at least 2-5 business days. For press work allow 5-7 business days.

If you have any changes to be made to your original, we will send a proof to be approved before production begins. Make sure you allow enough time to check the proof.

Q: How do I submit work to be copied?

All originals should be one sided. If you have any questions about submitting work,  please call ext. 1767 and we will help you out.

Q: How do I submit work for printing on the press?

To print on the press a plate will need to be made. You can submit originals that will be used as they are to make negatives, which will in turn be used to make an aluminum plate. If you have any changes that need made to your original please allow time for a proof to be generated and okayed before printing begins.


Technical Issues


Q: What programs can I use to submit work on disk?
 

PageMaker, QuarkXpress, and InDesign will produce the best results. If work is submitted in another program such as Word or WordPerfect, it will be converted to PageMaker or InDesign at University Mail and Printing Services and may add set up charges to your project.

Q: Can I submit digital images:

Yes, although you will want to be very careful. All scans should be at 300 DPI and saved as Tiff or Jpeg. If you submit a layout on disk a copy of the image file will be needed as well as the file containing the layout.

If you wish to use clip art on a document stop by and see our collection. The majority of the clip art that can be found online or on the Network will not reproduce well to the high resolution printers used in professional printing.

Q: What kind of disks can I use?

We can accept cd, floppy and 100 MB or 250 MB  Zip disks. Floppies need to be formatted for PC, but eveything else can be either Mac or PC..

Q: I use a Mac will that be a problem?

No, we have both a PC and an Mac in the department.  The Mac does not have a floppy drive, so to submit work you can put it in a Zip disk, or a PC formatted floppy.

Billing

Q: Who do I contact with questions on my bill?

Call University Mail and Printing Services at ext 1605 for questions on billing for print jobs, ext. 1604 for questions on mailing or fax billing.

Q: When is my bill due:

University Mail and Printing Services must have all the requisitions back by the 10th of the month.
