Room details

*NOTE:  The fee for wedding receptions, dinners, and/or dances scheduled in Washburn A and B is $1,400. This includes 10-hour access to the Memorial Union and room, use of and set-up of tables and chairs, dance floor, custodial services and routine cleanup of facilities. Additional equipment or services could result in special services fees being charged.

Priorities for use:

• Daily Memorial Union operations, including but not limited to meal service for residence hall students;
• Student organizations;
• Department and major University events, including but not limited to Homecoming and Family Day;
• Non-University educational related organizations and events
• General public

Equipment available for meetings and events held in the Memorial Union:

• Audio Visual carts
• Dance Floor* (portable, 24’ X 24’maximum, $150 charge)
• Direct Box
• Dry Erase Boards (portable, markers and eraser provided)
• Easels (suitable for holding posters, etc.)
• Flat screen TV/Monitor mounted in meeting rooms
• Flip Chart Stands (paper and markers not provided)
• Lectern (tabletop)
• LCD projectors
• Microphones (standard, wired)
• Microphones (wireless, hand held and lapel)
• Microphone Stands (floor and tabletop)
• Overhead Projectors
• Telephone lines
• Podiums

Note: Fees are not assessed for use of most equipment. All equipment is available on a first come, first served basis. Any equipment that you require for your meeting for event that cannot be provided by the Memorial Union must be arranged for at your expense. The Memorial Union and its staff cannot assume responsible for security, handling or set-up of that third-party equipment.

Fee structure for meeting space use

Basic Service Fees include the provision of space, normal heating or cooling, normal lighting, opening and closing of the facility within normal operating hours, normal cleaning prior to, during and after an event and the routine placement of furnishings.

Basic Services fees are based on a per-use, per-room, per-day basis within operating hours of the Memorial Union.

•  Student organizations – Basic Services fees waived but must pay special service fees.
•  University departments and organizations – Basic Services fees waived but must pay special service fees.   
• Off-campus organizations or individuals – Pay basic services fees and special service fees.

Special Service Fees include services provided above and beyond basic services. This may include but is not limited to special opening and closing times of the facility, cleaning not of a routine nature and furnishings placed in a non-routine format.

Special Services fees are billed on an hourly rate or flat fee.  Special services include but are not limited to:

• Custodial services - $25 per hour, per man, two hour minimum.
• Opening/closing the Memorial Union beyond normal operating hours - $50 per hour or part of an hour.
• Use of the dance floor -  $150
